How Cleo books into Dealer-FX

01 · Know the caller and the car
Cleo looks up the caller’s number in Dealer-FX for their customer record, vehicles and upcoming service appointments. If the vehicle is not on file, it asks for the year, make and model and checks them against the vehicles your Dealer-FX setup supports.
02 · Read Dealer-FX’s open times
Cleo matches the request to a service Dealer-FX lists for that vehicle, asks when the caller wants to come in, then reads the open times Dealer-FX returns, searching up to eight weeks ahead. It does not offer a time Dealer-FX does not return.
03 · Book it and confirm
When the caller picks a time, Cleo creates the appointment in Dealer-FX. It confirms the day and time only after the booking succeeds.
Where your dealership has those workflows turned on, Cleo can also reschedule or cancel an existing appointment, and it has outbound versions of booking, rescheduling and cancelling for campaign calls. It cannot create capacity that is not in your Dealer-FX schedule.

A phone conversation that asks one question at a time: name, callback number, vehicle, mileage, what they need and when they want to come in. If the caller already has an upcoming appointment, Cleo says so and asks whether to keep it, move it or add another. It reads back the booked day and time.
When a person is needed
If Dealer-FX has no open time or a booking fails, Cleo never says an appointment is confirmed. It creates a callback task for your service team with the details it collected. Your dealership can also limit the days and times Cleo offers for diagnostic, recall or repair requests.
