Accurate answers

What your AI phone agent tells callers about your dealership, and where it gets it.

Callers ask more than “can I book?” They ask about amenities, policies, directions and what you do not service. Cleo answers from the entries your team wrote and from your own website, and it is told to hand the call to a person when neither has the answer.

Beyond booking

A wrong answer on the phone is a promise your store has to keep.

Booking is the easy half of a service call. The other half is the question that does not fit a form: do you have a waiting room, is the shuttle free, do you work on that brand, what is your address. A phone agent that guesses at those answers creates work for your team and disappointed customers. So the useful question is not “can it talk?” but “where does it get its answers, and what does it do when it has none?”

Three places, checked together

Your entries first. Then your website. Inventory for one specific car.

Where Cleo's answer to a caller's question comes from. A caller asks a question about the dealership. Cleo checks your knowledge base, your website and, when connected, your inventory for one specific vehicle, together, and trusts your entry if sources disagree. Answer rules: prices only from your entries, one saved address, silence is not a no. The result is one short answer in the caller's language. If no source answers, Cleo transfers the call if the department is open, otherwise it arranges a callback. Your team writes the entries in Settings. The rules are instructions to the AI, not a guarantee.Where Cleo's answer to a caller's question comes from. A caller asks a question about the dealership. Your knowledge base, then your website

Your knowledge base is the facts your own team wrote: amenities, policies, what you do not service. This is the source Cleo is told to trust most. Cleo is also told to search your own website, the website address saved in your settings, for anything your entries do not cover. When a caller asks a question about your dealership, Cleo checks these at the same moment and writes one short answer.

Your inventory, when connected

If your store’s inventory is connected and the caller asks about one specific vehicle (year, make and model, stock number or VIN), Cleo can check it. It does not search inventory for broad requests such as a price ceiling or a body style.

If your entries, your website and your inventory cannot answer the question, Cleo is told to say it does not have that information. It is then told to transfer the call to the right department if that department is open, and otherwise to arrange a callback from your staff. A transfer or a written follow-up is how Cleo hands off any call that needs a person.

What decides the wording

Rules the answer is told to follow.

01 · Your entry beats your website

If your own entry and your website disagree, Cleo is told to trust your entry. For address and directions questions Cleo is told to use the address saved in your settings and to ignore a conflicting one from an entry or a web page.

02 · Prices come from you

A price, fee or rate that appears only on your website is not to be read to the caller. Prices and fees may come only from entries your team wrote, because web pages carry stale specials and sales fine print that a caller hears as a quote. With the service-quote workflow, Cleo never quotes a price, estimate or range on a service call: it transfers to service, or takes a callback request if service is unavailable.

03 · Silence is not a no

Cleo is told not to say that you do not offer something just because a source does not mention it. It may say so only when a source says so. The answer is meant to be short enough to say on a call, in the language the caller asked in, without reciting where it came from.

Your team writes the facts: add, edit and delete entries in Settings, under Agents, on the Knowledge Base tab. Short, factual sentences are the easiest to answer from. These rules are instructions to the AI, not a guarantee, which is why every call is logged with a summary, outcome tags, a transcript and a recording that your staff can open.
