01 · Know the caller and the car
Cleo looks up the caller’s number in Xtime for their record, vehicles and upcoming service appointments. It checks the vehicle against what your Xtime setup supports and matches the request to a service Xtime lists for it.
02 · Read Xtime’s open times
Cleo asks when the caller wants to come in, then reads the open times Xtime returns for that service, searching up to eight weeks ahead. It does not offer a time Xtime does not return.
03 · Book it and confirm
When the caller picks a time, Cleo creates the appointment in Xtime. It confirms the day and time only after the booking succeeds.
Where your dealership has those workflows turned on, Cleo can also reschedule or cancel an existing appointment. It cannot create capacity that is not in your Xtime schedule.
