Loaner and rental car calls

Loaner and rental car calls during service: what Cleo offers, and what stays with your team

A customer who needs a car while theirs is in the shop asks early, often on the booking call. Cleo does not invent a loaner. Where your scheduler lists transportation options, Cleo offers only those. Where it does not, Cleo answers from what you wrote down or hands the call to your team. Cleo does not reserve the vehicle.

The short answer

Can an AI phone agent promise a customer a loaner?

No. Cleo does not reserve a loaner or rental car. On a scheduler workflow that has a transportation step, Cleo names only the options your scheduler returns. On one of these workflows, when the caller picks a loaner, shuttle, valet, rental or pick-up option, Cleo books the appointment and tells the caller your service team will follow up to arrange it.

Several scheduler workflows have no transportation step at all, so on those Cleo never asks about a loaner, shuttle, rental or wait.

What Cleo does with each kind of loaner call

Six calls your service desk gets, and what happens to each.

  1. Caller is scheduling service and wants a loaner or shuttle.

Cleo offers only the options your scheduler returns. If the caller asks for something that is not listed, Cleo says it is not available and offers what is.

  2. The caller picks a loaner.

On the workflow with this hand-off, Cleo books the appointment and tells the caller your service team will follow up to arrange it. For a loaner, Cleo also writes a note into the call transcript saying staff must arrange the loaner before the visit. Cleo does not reserve the vehicle itself.

  3. Your scheduler has no transportation step.

On the consumer web scheduler workflow, Cleo never asks the caller to choose a loaner, shuttle or wait. Loaner questions on those calls are answered from your entries or handed to your team.

  4. Caller asks whether your store offers loaners, for example during a warranty repair.

Cleo answers from the entries your dealership wrote in its knowledge base. It must look them up before it answers, and says it is not sure when nothing answers, then offers a follow-up or a transfer. A rental rate or daily fee reaches a caller only if your dealership wrote it down.

  5. Caller asks about a loaner they were told about earlier.

Cleo transfers the caller to the service department when it is open at that moment in your time zone. When it is closed, Cleo does not attempt a transfer; it says so and offers a callback or to take a message.

  6. The call ends with a loaner request left open.

After the call, Cleo reviews the transcript and can create a follow-up task for staff when a caller asked for shuttle or loaner help, but only when the caller stated a need staff can act on.

Proof · Real dealership

Offer only what the dealership has set up.

Cleo offers only the transportation options the dealership has set up. This describes the booking call, not a loaner result.

Cleo is an independent vendor. This page does not describe a rental company or fleet system connection.

Each dealership sets which transportation options Cleo offers.

After the call

What your team gets, and what to decide first.

01 · The request, written down before the visit.

A loaner request on a booked visit comes with a note in the call transcript that says staff must arrange the loaner before the visit.

A callback request takes the caller’s name, a callback number and a note, then creates a task for your staff. Task types are set up by your dealership, each task keeps its type, and you choose who is notified, who takes tasks in turn and when a task escalates.

If the caller says the request is urgent or time-sensitive, Cleo can mark the task urgent, and the dashboard shows the marker.

02 · Decide what your store can really promise.

Who is eligible for a loaner: warranty repairs, repairs of more than one day, or anyone who asks.

How far ahead a caller must ask, and who confirms the vehicle is free.

Whether you offer a shuttle, a ride home or a rental, and within what distance.

Which of these can be said on the phone before a person confirms.

On transportation options Cleo names only what your scheduler lists. On policy it answers from what your dealership wrote in its knowledge base, and it never states a rate or fee that appears only on your website.

Which workflows a store uses is set up per dealership, so ask about yours in the demo.

Cleo’s own service call scripts page gives the safe default: do not promise parts, repair time or a loaner until someone has confirmed it.

03 · Five questions for your service manager.

1. Who owns the loaner fleet, and who tells the desk it is free?

2. Does your scheduler list transportation options, and which?

3. When a caller picks a loaner, who contacts them, and by when?

4. Which loaner and rental questions can a written answer cover?

5. What should a caller hear when no loaner is available that day?
