Dealership missed calls
Dealership missed calls. Meet your safety net.
A ringing phone competes with the customer in front of you. Cleo covers overflow and after-hours calls so the next caller has a way forward.

El Cerrito Honda uses Cleo after hours and as a three-ring overflow safety net across sales, service and parts. Bookings and transfers are separate reported figures, not a breakdown of the 633 calls. They do not prove that every call would otherwise have been lost.
“If a call is not answered within three rings in any department, Cleo steps in.”

Stevens Creek Subaru figures cover inbound calls only. Booking-outcome calls and transfers are separate reported figures, not a breakdown of the 1,678 calls. A booking-outcome call ended as a scheduled appointment; it is not a completed appointment or revenue, and it does not prove every call would otherwise have been lost.
A better path for the next caller
Your team first. Cleo when needed.
01 · Catch the overflow
At El Cerrito Honda, staff receive the call first. If a department cannot answer within three rings, Cleo steps in. Agree the routing for your dealership before launch.
02 · Help the caller
Cleo can answer questions and book service into the scheduler. El Cerrito Honda’s published booking example uses Xtime.
03 · Bring people in
Cleo transfers to available staff or sends a detailed follow-up request to the right department. Work that needs a person still belongs with your team.
Coverage is not a guarantee of recovered revenue. A caller might call back, leave a message or have no booking intent. Measure completed appointments and actual repair orders, not just answered calls.
Missed-call cost estimate · worked example
Use your numbers. Here is the math.
100 missed calls / month
Assumption: 100 unique, relevant service calls go unanswered in a month. Exclude spam, duplicates and callers your team already helps later.
10% to 30% become completed work
Assumption: reaching those callers would produce 10 to 30 additional completed repair orders. This is a scenario range, not an industry conversion benchmark.
$250 to $450 per repair order
Assumption: average gross service revenue is $250 to $450 per completed order. Replace this with your own service mix and reporting.
Formula: unique missed service calls × incremental completed-order rate × average repair-order revenue. Low scenario: 100 × 10% × $250 = $2,500/month. High scenario: 100 × 30% × $450 = $13,500/month. Illustrative gross revenue only, not profit, Cleo pricing or a forecast. Subtract costs and account for available capacity. If no extra work is completed, the incremental revenue is $0. These inputs are assumptions you can change, not customer results or industry statistics.

How much does a missed dealership call cost?
There is no single honest dollar figure. Some callers call back; some never intended to book. Estimate unique missed service calls, the share that would become additional completed work and your average repair-order revenue. The worked example on this page makes every assumption explicit.
