Advisor name requests
Callers who ask for their service advisor by name: who Cleo transfers to, who it books with, and what happens when they are out
“Is my advisor there?” Some callers do not want a department, they want a person. Cleo matches the name to the people on your directory and transfers only to someone who is open. Where the store’s scheduler setup supports it, it carries a named-advisor request into the booking. When the advisor is out, it takes a callback with the request already written down.

The short answer
Can an AI phone agent send a caller to a named service advisor?
Yes, when that person is on your directory list and open. Cleo matches the name the caller says to a person on the list, tolerates a spelling variation, never guesses which department a person works in from the name alone, and transfers only if that person is open.
Cleo works from the name the caller says and the directory you keep. It sends a caller only to a person or department on that list.
What happens to each call
Seven calls for a named advisor, and what happens to each.
The advisor is on your directory and open.
Cleo transfers the call. On a warm transfer it holds the caller, briefs the person who answers using the reason for the transfer, and then connects the caller.
The name is a near miss.
A different spelling of the same name still finds the person.
The advisor is off today.
When the person's line is closed, Cleo does not transfer and offers a short callback instead. If the caller wants a whole department that is closed and people on its team are open, Cleo can offer those people by name.
The name is not on your directory.
With no department named, Cleo asks which department the caller is in. If the caller names a department that is not on the list either, Cleo says the person is unavailable and offers a callback, and does not send the caller somewhere else.
A booking caller asks for a particular advisor.
Where the store's scheduler setup supports it, Cleo passes the name only when the caller asks for it, and does not ask callers for a preference. The request goes into the booking comments. If the name matches exactly one of the store's configured advisors, the appointment goes to that advisor. Otherwise it is booked to the store's default advisor for staff to assign, and the caller hears that the service team will confirm the advisor.
A booking caller names no one.
Where the store's scheduler setup supports it, the store's configured advisors are booked in turn.
The transfer does not connect.
Cleo returns to the caller with a next step written for the call, typically collecting details for a callback. A transfer depends on a person answering.

What your directory has to hold
A call can go only where your directory says it can.
Each line in the directory can carry an extension, a schedule that decides when the line is open, and a linked employee.
Whether a line is open comes from its schedule. A line with no schedule, or one whose schedule cannot be read, is treated as open, so a missing schedule sends calls to someone who may not be there.
A linked employee lets Cleo tag the line with that person's groups, so it knows which team they are on when it transfers.
Keep these current. The schedule shows who is on the clock, and it cannot show who is on another call or away from the desk.
After the call
What your team gets, and what to decide first.
01 · Status callers often know a face, not a name.
Cleo does not read repair status and does not guess at a ready time. On the vehicle status workflow it transfers the caller to your service department, and takes a callback request if service is unavailable.
That call has its own page. See repair status calls.
02 · A callback with the request written down.
A callback request takes the caller’s name, a callback number and a note, skips anything the caller already said, and creates a task for your staff.
Task types are set up by your dealership, and each task keeps its type so it does not move to another department. You choose who is notified, who takes tasks in turn and when a task escalates.
Agree on a standard before you launch: when a callback for an absent advisor is returned, and who covers when that advisor is out for the week.
03 · Five questions for your service manager.
1. Which advisors should be on the directory, and which hours does each one work?
2. Which teams should be offered to a caller when one advisor is out?
3. Who covers an advisor’s callbacks on a day off?
4. Which scheduler do you book through, and does it let a caller choose an advisor?
5. What should a caller hear when the advisor they asked for is not in?
FAQ

Can a caller book with a named advisor?
Where the store's scheduler setup supports it, yes, when the caller explicitly asks. If the name matches exactly one configured advisor, the appointment goes to that advisor. Otherwise it is booked to the default advisor and the service team confirms.
