Collision center calls
Collision center calls: what Cleo does when a caller asks for the body shop
A body shop caller is often stressed, and the shop phone is often ringing. Cleo can send the call to your body shop desk when it is open, and take a callback request when it is not. It does not write estimates or handle insurance claims. This page shows where Cleo helps and where your team stays in charge.

The short answer
Can an AI phone agent handle collision center calls?
Cleo has no collision workflow. It treats a body shop call like any call that needs a person: it checks your directory, transfers to the body shop desk if you have listed one and it is open, and otherwise takes the caller's name, number and a note and creates a task for your team.
Cleo does not quote an estimate, and nothing in its workflows, tools or prompts handles an insurance claim. Those requests go to your people.
What Cleo does with each kind of collision call
Six calls a body shop gets, and what happens to each.
Caller asks for the body shop.
Cleo checks the body shop desk against your directory list. If it is listed and open at that moment in your time zone, Cleo transfers the call. On a warm transfer, Cleo holds the caller and briefs the person who answers before connecting the caller.
The body shop is closed, or nobody picks up.
When a desk is closed, Cleo does not attempt a transfer; it says so and offers a callback or to take a message. If a warm transfer does not connect, Cleo returns to the caller and typically starts collecting details for a callback.
The body shop is not in your directory.
Cleo treats a department that is not on the list as unavailable and offers a callback. It does not send the caller to a different department. With no transfer destinations set up at all, Cleo takes a message.
Caller asks for an estimate.
On its quote workflow Cleo does not give a price, an estimate or a range. That workflow names the service team as the transfer destination and takes a callback if the transfer is unavailable. If you want estimate calls to reach the body shop desk, settle that routing in the demo.
Caller asks whether the car is ready.
Cleo does not read repair orders or guess a ready time. Its vehicle status workflow transfers the caller to the service department and takes a callback if service is unavailable.
Caller was in an accident or has an insurance question.
Cleo has nothing that handles claims. It offers a follow-up or a transfer to a person, and a callback request takes the caller's name, number and a note.

Proof · Real dealership
A hand-off is only as good as the follow-up.
At El Cerrito Honda, Cleo answered questions, booked service appointments and sent detailed follow-up requests to the correct department. The store uses Cleo across sales, service and parts, and in the measured 30 day period Cleo completed 143 transfers. This is not a collision center result.
Cleo is an independent vendor. This page does not describe an estimating, parts or insurance connection.
After the call
What your team gets, and what to decide first.
01 · A task with the details, so nobody replays a voicemail.
Every callback request becomes a task for your staff, with the caller’s name, number and note.
Task types are set up by your dealership, and each task keeps its type instead of moving to another department. You choose who is notified for each type, who takes tasks in turn, and when a task escalates.
If the caller says the request is urgent or time-sensitive, Cleo can mark the task urgent, and the dashboard shows the marker.
After each call, Cleo also tags the call with your own department names, so a body shop department you add can appear as a tag on its calls.
02 · Where the body shop fits in your setup.
Add the body shop as a department with its own schedule, and as a desk in the directory with its phone number, an optional extension and the schedule that sets when it is open.
On a smart line, the call rings your team first and goes to Cleo after the number of rings you set, up to six. Ask in the demo whether your body shop number can be a smart line.
Outside a line’s open hours, the line can go straight to Cleo when it is set up with after-hours coverage.
Which workflows a store uses is set up per dealership, so ask about yours in the demo.
Write down what callers ask about, such as how drop-off works. Cleo must look up these knowledge base entries before it answers a question about your dealership, prefers your entry to your website, and says it is not sure when nothing answers.
03 · Five questions for your body shop manager.
1. Who answers the body shop line, and what happens when that person is under a car?
2. Who owns the callback list the next morning, and by when is each one returned?
3. Should estimate calls reach the body shop desk or the service team?
4. Which questions can a written policy answer, and which need a person?
5. Who follows up when a caller says the request is urgent?
