Fleet and commercial calls
Fleet and commercial service calls: what Cleo books, who it reaches, and what your fleet desk still owns
A company driver wants a visit for a work truck. A fleet manager wants a person who knows the account. Cleo can book the visit, put the call through to your fleet desk when it is on your directory and open, and take a callback when it is not. It has no fleet account, purchase order or invoice step.

The short answer
Can an AI phone agent handle fleet and commercial service calls?
It can handle the phone side of them. On a service booking call, Cleo collects the name, callback number, vehicle, mileage, the work needed and a preferred time, one question at a time, checks the scheduler for open times, books the time the caller picks and reads back the day and time.
For a caller who needs a person, it transfers only to someone on your directory who is open. Anything about account terms, purchase orders or invoices stays with your team, because Cleo has no step for them.
What happens to each kind of fleet call
Six calls your service line gets, and what happens to each.
A driver wants a visit for a company vehicle.
Cleo asks what the caller wants done, matches it to your scheduler's own service codes, reads the open times the scheduler returns and books the time the caller picks.
A fleet manager asks for the fleet desk by name.
If a fleet desk or a fleet person is on your directory and open, Cleo puts the call through. If the name is not on the list, Cleo treats it as unavailable and offers a callback.
The fleet desk does not pick up.
Cleo returns to the caller with a next step written for the call, typically collecting details for a callback, instead of dropping the call.
The service department is closed.
Cleo says so, and offers to book the visit or to take a callback. It does not attempt a transfer.
A vehicle is of a make you do not service.
A store can list the makes it services. Cleo refuses any other make before checking availability, and then transfers the caller or takes a callback instead.
The caller asks about an account term, a purchase order or an invoice.
Cleo has no fleet account, purchase order or invoice step, so it takes a callback or puts the caller through to someone on your directory who is open.

Give fleet callers a line of their own
Ring the fleet desk first, and let Cleo catch the rest.
A store's smart line rings the destination the store chooses first and hands the call to Cleo when nobody picks up within the rings the store sets, from none to six. A store can name each smart line.
For a store with a fleet desk, a line set up this way is one way to keep the desk first in the ring order. Whether a dedicated number suits your fleet customers is a question for the demo.
Write down what fleet callers ask
Policies belong in the knowledge base.
The dealership writes the facts callers ask about, such as policies and what it does not service, as knowledge base entries. On a question about the dealership, Cleo looks the entries up before it answers, prefers the dealership's own entry over its website, and says it is not sure when nothing answers.
Ask your fleet desk which answers they want a caller to hear, and which they want kept for a person.
Proof · Real dealership
Transfers are one outcome among many.
At Stevens Creek Subaru, from September 21 to October 20, 2026, Cleo answered 1,678 inbound calls and transferred 357 calls to staff. These are the store’s all-call figures, not fleet calls, and transfers are a separate outcome from the answered calls.
After the call
What your team gets, and what to decide first.
01 · A callback task with the reason already written.
A callback request takes the caller’s name, a callback number and a note, then creates a task for your staff.
Task types are set up by your dealership, each task keeps its type so it does not move to another department, and you choose who is notified, who takes tasks in turn and when a task escalates.
If a caller says a vehicle is down or the request is urgent, Cleo can mark the task urgent, and the dashboard shows the marker.
02 · A department of your own.
A store can register departments, each following a schedule, and Cleo’s call record can be tagged with the department names a store registers. The code’s own example is a fleet department.
Register the department before the demo if you want to see fleet calls tagged separately.
03 · Five questions for your fleet desk.
1. Who is on your directory for fleet, and when are they open?
2. What should a caller hear when nobody is at the fleet desk?
3. Which fleet questions can a caller hear answered, and which need a person?
4. Who works a fleet callback task, and by when?
5. Which makes and vehicles do your fleet customers bring that you do not service?
