Monday morning calls
Monday morning service calls: what Cleo answers, books and hands to your team when the weekend backlog hits
Monday opens with the callers the weekend left behind, customers booking the week and customers asking about a car already in the shop, all while your advisors are writing up the first arrivals. Cleo answers when your team cannot, books the times your scheduler has open, and leaves the rest as a task with the caller’s details already written down.

The short answer
Can an AI phone agent help with the Monday morning call surge?
Yes, with limits. Cleo does not add advisors or open times. On a smart line your team rings first and Cleo picks up after the number of rings the store sets, from none to six, so a call that nobody picks up reaches Cleo.
What Cleo books is limited to the open times your scheduler returns. It offers the nearest alternatives when the caller's time is taken, and when no time is open it offers a callback.
Why Monday is its own problem
Three kinds of calls arrive in the same hour.
Weekend callers who wanted an answer, customers booking the week ahead, and customers with a car already in the shop. Each one is a different call, and all of them queue behind the same few people.
The phone is still where most service appointments start: two-thirds of service appointments are still scheduled by phone, according to a Pied Piper executive quoted by WardsAuto.
We do not publish a Monday count. Cleo's call statistics show Sunday on its own, 1,053 of 36,070 calls, or 2.9%, and group Monday to Saturday together, so they cannot show how large a Monday is. Pull Monday against the other weekdays from your own phone report before you plan around it.

What happens to each call
Six Monday calls, and what happens to each.
The weekend caller who wants a time.
After hours Cleo picks up directly. It reads the open times the scheduler returns, offers the nearest alternatives when the caller's time is taken, and books the time the caller picks.
The caller whose first choice is gone.
Cleo offers the nearest open times, and when none is open it offers a callback. It cannot create capacity that is not in the schedule.
The "is my car ready?" caller.
Cleo does not read repair status and does not guess at a ready time. It transfers the caller to your service department, and takes a callback request when service is unavailable.
The caller who asks for someone who is not in yet.
Cleo transfers only to a person or department that is open in your time zone. When the department is closed it says so and offers a callback or to take a message.
The caller who is frustrated after a weekend of waiting.
Cleo can mark the follow-up task urgent, and the dashboard shows the marker.
The caller with a symptom.
At stores whose scheduler workflow supports it, Cleo files a symptom as a diagnostic, and the store can keep diagnostic visits off chosen weekdays or after a latest time of day without changing other bookings.

After the call
What your team gets, and what to decide first.
01 · Leave your advisors a short list, not a voicemail box.
When Cleo cannot book or transfer, a callback request takes the caller’s name, a callback number and a note, skips anything the caller already said, and creates a task for your staff.
If a booking fails, Cleo creates a callback task with the details it collected and does not retry the booking.
Task types are set up by your dealership, and each task keeps its type so it does not move to another department. You choose who is notified, who takes tasks in turn and when a task escalates.
Decide before Monday who opens the task list first, and by what time every task has an owner.
02 · Decide who answers first.
A store that wants its team to take the first calls and Cleo to take the overflow sets more rings before Cleo picks up. A store that wants Cleo on the line sooner sets fewer. The setting belongs to each smart line.
Check it against your own Monday report. If calls ring out before an advisor can reach them, shorten the wait. If your advisors answer most calls in the first rings, leave it alone.
A transfer still depends on a person answering. If a warm transfer does not connect, Cleo returns to the caller with a next step written for that call, typically collecting details for a callback, and does not drop the call.
03 · Five questions for your service manager.
1. Which weekday has your heaviest morning, by calls received and by calls nobody answered?
2. Who is on the phones in the first hour, and who is writing up cars?
3. How many callbacks are waiting when you open on Monday, and who owns them?
4. Which jobs should be bookable on Monday, and which should wait for another day?
5. Where should a status call go when the advisor is with a customer?
FAQ
Still have questions?
Can Cleo clear the weekend backlog before Monday?
Not the backlog itself. After hours Cleo picks up directly and can book the times your scheduler has open. When it cannot book, it creates callback tasks that your staff works through.
Does Cleo tell callers their car is ready?
What if no time is open on Monday?
Can we keep diagnostic visits off certain days?
