Confirmations and reminders

Appointment confirmations and reminder replies: what Cleo does on the call and what your scheduler sends

A reminder text lands, and the customer calls your service line instead of tapping a button. Cleo can answer that call, read back a booked time, move the appointment or cancel it. The reminder messages themselves come from your scheduler.

The short answer

Does an AI phone agent confirm service appointments and handle reminder replies?

It confirms the booking it makes and it takes the calls that reminders produce. When Cleo books a time into the scheduler, it reads back the day and time only after the booking succeeds. When a customer calls to move or cancel, it works on the appointment already on the books.

On one scheduler connection, Cleo also asks the scheduler to send the customer a text confirmation and a text reminder for the appointment, and an email confirmation and reminder when an email address is on file. Those messages come from the scheduler, not from Cleo.

This page does not claim that Cleo phones customers to confirm an appointment that is already booked. The outbound calls Cleo does make are campaigns that the dealership describes, covered below.

What happens on each call

Five calls a reminder can start, and what happens to each.

  1. A customer wants to book and already has an appointment coming up.

Cleo says what is on the books before booking anything new, and asks whether to keep it, move it or add another. If the customer keeps it, no second appointment is created.

  2. A customer wants a new day or time.

Cleo finds the appointment, asks what day or time works better, checks the open times, and moves the appointment in one step. It does not book a new one and cancel the old one.

  3. The scheduler will not take the move.

Cleo tells the caller it is moved only after the scheduler reports success. If the move fails, the original appointment stays in place and Cleo creates a callback task for your team.

  4. A customer wants to cancel.

Cleo finds the appointment, cancels it without a second confirmation question, and asks once whether the caller wants to rebook. If yes, it switches to booking.

  5. A customer wants to book a visit from scratch.

Cleo checks the scheduler for open times, books the time the caller picks, and reads the day and time back. If booking fails, it creates a callback task and does not retry.

Where the reminder itself comes from

The scheduler sends the reminder. Cleo sets the request.

On one scheduler connection, the appointment Cleo creates carries a request for a text confirmation and a text reminder, plus an email confirmation and reminder when the caller gave an email address. The scheduler delivers them, so what a customer receives, and when, follows that scheduler's own settings.

Ask which of your schedulers behave this way before you promise a reminder to a customer.

Reminders sent on a schedule of their own are not described on this page. Ask about them in the demo.

Texts after a call

A text can finish a booking the call could not.

On one scheduler workflow, an unfinished booking can be continued by text. Cleo asks for one missing detail per text, checks again that the chosen time is still open before booking, and asks before creating a second appointment when one is already upcoming. It confirms only the booked date and time.

A separate step asks the caller for a clear yes before any automated text about the call.

Reaching customers before they call

Campaign calls are for service you choose.

At stores with campaigns switched on, a dealership describes a campaign, imports its customer list from a CSV file and picks the calling schedule. On the call Cleo already has the customer's name and the campaign reason, checks the scheduler's open times, books the appointment and reads the day and time back.

The dealership chooses how customers are reached: call only, call then text if there is no pickup, text then call if there is no reply, or text only. Cleo stops once an appointment is booked, the customer is marked do not contact, the customer replies by text, or a call is answered.

Proof · Real dealership

Confirmation calls are one slice of a larger service line.

At Stevens Creek Subaru, from September 21 to October 20, 2026, Cleo answered 1,678 inbound calls, and 447 calls ended as a booked appointment. This is the store’s mix of all call types, not confirmation or reminder calls.

After the call

What your team gets, and what to decide first.

01 · A callback task, not a silent failure.

A callback request takes the caller’s name, a callback number and a note, then creates a task for your staff.

Task types are set up by your dealership, each task keeps its type, and you choose who is notified, who takes tasks in turn and when a task escalates.

If the caller is in a hurry or frustrated, Cleo can mark the task urgent, and the dashboard shows the marker.

02 · A moved appointment should not leave a ghost on the schedule.

On one scheduler workflow, if the original appointment cannot be removed after the new time is booked, Cleo creates a task for your staff to cancel the original, and tells the caller to disregard reminders for the old time.

Someone on your team should own that task each morning. Decide who before launch.

03 · Five questions for your service manager.

1. Which scheduler sends your reminders, and what does a customer receive and when?

2. Who answers when a customer replies to a reminder by phone and nobody picks up?

3. Who owns a task when an old appointment fails to clear?

4. Which customers would you reach with a campaign call first?

5. Which confirmations do you want read back on every booking call, and which do you leave to the scheduler?

FAQ

Still have questions?

Does Cleo call customers to confirm an appointment?

This page does not claim that. Cleo reads back the time when it books, and it can run campaign calls that you describe, such as a service you want customers to book. Confirmation calls for appointments already on the books are a question for the demo.

Who sends the appointment reminder text?

What if a customer replies to a reminder by calling?

What happens if the scheduler will not take the change?

Does Cleo text customers after a call?

On one scheduler workflow an unfinished booking can be continued by text, and a separate step asks for a clear yes before any automated text about the call.
