Appointment no-shows

Service appointment no-shows: make reschedule and cancel calls easy to finish.

A customer who cannot make a service appointment needs someone to pick up and move it. Cleo answers the reschedule and cancel calls your team does not reach, including after hours, finds the appointment in your connected scheduler and moves or cancels it. See the call flow, real call counts and what stays with your team.

The call flow

What happens when a customer calls to move or cancel.

The reschedule and cancel call, step by step.

Steps shown follow Cleo's Xtime reschedule and cancel workflows. Workflows for other connected schedulers differ in detail.

Customer wants a new time

  1. Customer callsYour team rings first. Cleo picks up after the rings you set, and directly after hours.
  2. Find the appointmentConfirms the caller is the person on file and looks up their appointments by phone. Asks which one if there are several.
  3. Ask for a new timeAsks what day or time works better.
  4. Offer open timesReads the open times your scheduler returns, closest to the caller's request first.
  5. Move itBooks the new time, then tells the caller it is moved only after the scheduler confirms.
If the move failsThe original appointment stays in place and your team gets a callback task.

Customer wants to cancel

  1. Find the appointmentConfirms the caller is the person on file and looks up their appointments by phone.
  2. Cancel itCancels the appointment in your scheduler, without a second confirmation question.
  3. Offer a new time onceAsks once whether the caller wants to rebook. If yes, Cleo books a new time. If no, the call wraps up.

When reschedule and cancel calls arrived.

Sept 22 to Oct 21, 2026. 1,022 of the 36,070 calls that reached Cleo were logged as an appointment changed (688) or canceled (334). Time of arrival uses the same fixed window as the call statistics page, in each line's local time.

  • Monday to Saturday, 7 am to 6 pm91.5%935 calls
  • After 6 pm3.4%35 calls
  • Sunday2.9%30 calls
  • Before 7 am2.2%22 calls

91.5% arrived Monday to Saturday between 7 am and 6 pm, so these calls are mostly a daytime question of who picks up when lines are busy, not only an after-hours one. 87 calls (8.5%) arrived outside that window. That window is a fixed sample cut, not your store's hours. A logged activity is what happened on the call, not proof that the customer later came in or stayed away.

How big is the problem at your store?

Pull no-shows, cancellations and reschedules from your scheduler for a few weeks, and note how many customers called ahead. Cleo does not measure no-shows, so use your scheduler’s own report as the baseline.

Who answers when the customer calls?

Check which of those calls reached a person, voicemail or nobody. In the call sample above, most reschedule and cancel calls came Monday to Saturday between 7 am and 6 pm, so covering busy daytime phones matters as much as after-hours coverage.

Before launch, decide who works a callback task after a failed move and who owns the customer after a transfer.

Each figure is one store. A booking-outcome call means a booking succeeded in Cleo’s call log. It is not a completed appointment or revenue, and these figures say nothing about no-shows. Your results depend on call volume, caller needs, open capacity in your schedule and your setup.

If a call is not answered within three rings in any department, Cleo steps in. This ensures no customer is left waiting or forced to hang up.

Who does what

Cleo takes the call. Your team keeps the exceptions.

01 · Reschedule

Cleo finds the appointment, offers open times from your scheduler and moves it. The caller hears the new day and time once the scheduler confirms.

02 · Cancel

Cleo cancels the appointment in your scheduler and offers once to rebook, so a cancellation can become a new booking.

03 · Your team

Calls Cleo cannot finish become transfers, messages or callback tasks. Your team works those and keeps scheduler rules, opening hours and transfer destinations current.

Cleo works with the scheduler you connect and the hours and rings you set. Cleo’s call log shows what happened on the call, not whether the customer later arrived.

FAQ

Still have questions?

Can an AI phone agent reschedule a service appointment?

Yes, when your scheduling system is connected to Cleo. In the Xtime workflow it finds the appointment by the caller's phone number, asks for a new day or time, reads the open times your scheduler returns, books the new time and tells the caller it is moved only after the scheduler confirms. If the move fails, the original appointment stays and your team gets a callback task. Other schedulers' workflows differ in detail.
