EV and hybrid service calls

EV and hybrid service calls: what Cleo books, what it sorts, and what your technicians still own

An electric vehicle owner calls the service line with a question your advisors may be too busy to take. Cleo can book the visit, transfer or take a callback for everything else, and, at stores whose scheduler workflow supports it, sort a warning light call from a routine one. It has no charging or battery tool, and it does not diagnose a vehicle.

The short answer

Can an AI phone agent handle EV and hybrid service calls?

It can handle the phone side of them. Cleo books the visit into your scheduler, sorts the request where the scheduler workflow supports it, and brings in a person when one is needed. It has no EV-specific tool for charging, high-voltage work or battery health, so anything that needs a technician's judgment stays with your team.

On one scheduler workflow, Cleo goes a step further when matching a service. It judges from the vehicle's year, make, model and factory maintenance schedule whether the car is electric, a plug-in hybrid, a hybrid or conventional, and uses that only to choose between service codes meant for different powertrains. If that judgment is unavailable, the vehicle counts as unknown and booking carries on.

What happens to each kind of EV call

Six calls your service line gets, and what happens to each.

  1. An owner wants routine service for an EV or a hybrid.

Cleo asks what the caller wants done, matches it to your scheduler's service codes, reads the open times your scheduler returns and books the one the caller picks.

  2. An owner of a hybrid or EV calls about maintenance on the workflow with the powertrain step.

Cleo uses the vehicle's powertrain only to choose between service codes meant for different powertrains.

  3. A warning light comes on, or the car makes a noise or vibrates.

At stores whose scheduler workflow supports it, Cleo sorts this as a diagnostic: a symptom the caller wants diagnosed. It books the visit and does not diagnose the vehicle.

  4. The caller asks about charging or battery health.

Cleo has no charging or battery tool. It transfers the call to your service department when it is open, and otherwise takes a callback.

  5. The caller asks whether you service their make or their EV.

Cleo answers from the facts your dealership wrote in its knowledge base, and says it is not sure when nothing answers. A store can also list the makes it services, and Cleo transfers or takes a callback for any other make.

  6. The caller asks what an EV service costs.

On its price-question workflow Cleo does not quote a price, an estimate or a range. It transfers the caller to the service team, and if that transfer is unavailable it switches to a callback request.

Proof · Real dealership

EV calls are one slice of a larger service line.

At Stevens Creek Subaru, from September 21 to October 20, 2026, Cleo answered 1,678 inbound calls. 447 calls ended as a booked appointment, and Cleo transferred 357 calls to staff. This is the store’s mix of all call types, not EV calls.

After the call

What your team gets, and what to decide first.

01 · Match the schedule to the technician.

If only certain technicians can take a symptom call, the diagnostic visit should not be offered on the days they are off.

At stores whose scheduler workflow supports it, the store can restrict diagnostic or other service kinds to certain weekdays and a latest time of day. Routine maintenance bookings are not affected by that restriction.

Cleo books only the times your scheduler returns as open. It cannot create capacity that is not in the schedule.

02 · A callback task with the symptom already written down.

A callback request takes the caller’s name, a callback number and a note, then creates a task for your staff. Task types are set up by your dealership, each task keeps its type, and you choose who is notified, who takes tasks in turn and when a task escalates.

If the caller says the request is urgent or time-sensitive, or is frustrated, Cleo can mark the task urgent, and the dashboard shows the marker.

If a warm transfer does not connect, Cleo returns to the caller and typically starts collecting details for a callback instead of dropping the call.

03 · Five questions for your service manager.

1. Which EV and hybrid models do you service, and which do you send elsewhere?

2. Which technicians can take a diagnostic visit, and on which days?

3. What should a caller hear when the question is about charging?

4. Who calls back an owner with a warning light, and by when?

5. Which of these facts should be written down as a knowledge base entry first?

FAQ

Still have questions?

Can Cleo diagnose a warning light on an EV?

No. Cleo has no diagnostic tool. At stores whose scheduler workflow supports it, Cleo sorts a symptom call as a diagnostic and books the visit, and your technicians diagnose the vehicle.

Does Cleo know whether a vehicle is electric?

Can Cleo answer charging or battery health questions?

What if we do not service a caller's make?

Will Cleo quote an EV service price?

Not on the price-question workflow. Cleo is told never to quote a price, an estimate or a range, and it transfers the caller to your service team.
