Maintenance calls

Mileage service and dash light calls: how Cleo sorts maintenance from a diagnostic and books the visit

“My service is due.” “I need the big mileage service.” “A light came on.” Each is a maintenance call or a diagnostic call, and the difference decides which visit gets booked. Cleo asks what the caller wants done, matches it to your scheduler’s own menu, and books the time the caller picks.

The short answer

Can an AI phone agent book mileage service and scheduled maintenance?

Yes, into the menu your scheduler holds. On a booking call Cleo asks whether the caller knows the mileage and what they want done, one question at a time. It matches the answer to the scheduler's own service codes, reads the open times the scheduler returns and books the time the caller picks.

How a maintenance request is matched depends on the scheduler workflow a store uses. The examples below say which behavior belongs to which kind of workflow, so you know what to ask for in the demo.

What happens to each call

Six calls your service line gets, and what happens to each.

  1. The caller says their service is due and names no mileage.

On one scheduler workflow, Cleo matches the request to the factory-recommended service for the caller's vehicle.

  2. The caller names a mileage service.

On that workflow, Cleo picks the matching interval service from the few interval services nearest the vehicle's odometer reading.

  3. The service-due light is on.

On a third workflow, a scheduled, routine or mileage-based request, or a service-due light, is booked as the same service as an oil change. A service-due or oil change reminder light counts as maintenance, not a symptom.

  4. A warning light or a symptom comes with a maintenance request.

On that workflow, the visit is booked as a diagnostic even when the caller also asks for maintenance, and the rest of the request goes in the booking comment. An ambiguous request, such as brakes without front or rear, is booked as a diagnostic too.

  5. The caller wants two different jobs in one visit.

On another workflow, Cleo matches the request to at most two of the scheduler's service codes. It returns two only when the caller asked for two different services.

  6. The caller asks for a job your menu does not list.

On the first workflow, the job is recorded as a general service request, and the caller's words are kept as a note for the advisor.

Packages, menus and the fallback

Cleo books from your menu, not from its own list.

On the workflow that matches up to two codes, Cleo prefers the scheduler's package deals for routine maintenance. When nothing on the menu fits, it falls back to a general concern code instead of leaving the caller without a visit.

So the quality of the booking follows the quality of your menu. Walk through your scheduler's maintenance packages and interval entries with your service manager before the demo.

Proof · Real dealership

Maintenance calls are one slice of the service line.

At Stevens Creek Subaru, from September 21 to October 20, 2026, 447 calls ended as a booked appointment, and 445 of them were for the service department. This is the store’s mix of all service calls, not mileage or maintenance calls.

After the call

What your team gets, and what to decide first.

01 · Callbacks with the request already written down.

If booking fails, Cleo creates a callback task with all the details it collected and does not retry the booking.

A callback request takes the caller’s name, a callback number and a note, then creates a task for your staff.

Task types are set up by your dealership, each task keeps its type, and you choose who is notified, who takes tasks in turn and when a task escalates.

If the caller is in a hurry or frustrated, Cleo can mark the task urgent, and the dashboard shows the marker.

02 · A symptom call should land on a technician who is in.

At stores whose scheduler workflow supports it, Cleo sorts each request as a diagnostic, a repair or scheduled maintenance, and the store can restrict diagnostic or other service kinds to certain weekdays and a latest time of day. Other bookings are not affected by that restriction.

Cleo books only the times your scheduler returns as open. It cannot create capacity that is not in the schedule, and when no time is open it offers a callback.

03 · Five questions for your service manager.

1. Which scheduler do you use, and does its menu list mileage services by interval?

2. When a caller says service is due, which service should be booked?

3. Which technicians can take a diagnostic visit, and on which days?

4. Which common job pairs should be bookable together?

5. Which jobs are missing from your menu that callers ask for?

FAQ

Still have questions?

Does Cleo know which mileage service my customer needs?

On one scheduler workflow, when the caller names no mileage Cleo picks the factory-recommended service for the vehicle, and when the caller names a mileage it picks the matching interval service from those nearest the odometer reading.

Is a service-due light booked as maintenance or a diagnostic?

Can a caller book two jobs in one visit?

What if the job is not on our menu?

Does Cleo diagnose the problem?

No. It sorts a symptom as a diagnostic and books the visit where the scheduler workflow supports that. Your technicians diagnose the vehicle.
