Service drive capacity

Will an AI phone agent overbook your service drive?

Not if it books by your rules. Your shop’s capacity lives in your scheduler and in rules your advisors already follow: no same-day oil changes, no diagnostic work late on a Friday, nothing past the end of the month. Cleo offers only the times your scheduler returns as open, then applies the booking rules set for your store before it offers one.

Before a time is offered

Open in your scheduler first. Then your rules.

An appointment already on the books

With some schedulers, Cleo looks the caller up by phone number and checks for an upcoming appointment before booking. If one comes back, it asks whether to keep it, move it or add another, and it does not book a second one unless the caller asks for it.

Wait or drop off

With some schedulers, Cleo asks whether the caller will wait or use one of the transportation options your store offers before it checks times, so the time it offers fits how the car is coming in.

What is left after your rules

  • Caller picks a time

Booked in your scheduler, then Cleo reads back the day and time.

  • Nothing fits

Cleo offers the nearest open times, then a callback from your service team, and saves the details.

  • Booking fails

No retry, and Cleo never says it is confirmed. It creates a callback task for your staff.

Which rules apply depends on your scheduler. Illustration, not a store's schedule.

The rules, in order

Five checks before Cleo offers a time.

  1. Open in your scheduler.

While the caller is on the line, Cleo asks your scheduler for open times and offers only what comes back. Your scheduler's own settings still decide what is open.

  2. Booking window.

Offer nothing before a start date or after an end date, for example while a store is moving or when the month closes.

  3. Lead time.

No same-day bookings, or a minimum gap between now and the earliest time offered, so a caller is not booked into a slot your team cannot prepare for.

  4. Time of day and closed weekdays.

An earliest time for every booking, and weekdays closed to all bookings.

  5. Rules by kind of work.

When Cleo matches a request to your scheduler's service list, it labels it as maintenance, diagnostic, recall or repair. For the kinds you choose, it skips set weekdays and stops offering times after a cutoff, for example no diagnostic work on Fridays or after 2 pm. Other bookings are unaffected.

Which rules apply depends on your scheduler. Confirm the rules for your scheduler with Cleo during setup.

The pressure on the shop

More cars to fix, and only so many technicians.

Bays and technician hours are fixed in any one week, so every appointment a phone agent books has to be one your shop can actually do.

Public estimate, not a Cleo figure

Nearly 1 million

new-entry transportation technicians needed over the next five years, across the automotive, collision, diesel and aviation sectors, mainly to replace technicians who retire or move on. Owners keeping vehicles longer adds to the need.

An AI phone agent should make that problem smaller, not bigger. That means booking only into time you have, by the rules you already run.

Before you start

Five things to write down for setup.

  1. Which services callers may book, and which go to an advisor.

  2. Lead time: is same-day booking allowed?

  3. Days and cutoff times for diagnostic, repair or recall work.

  4. Any dates the schedule closes: a move, an inventory day, month end.

  5. Who returns callbacks when nothing fits, and how fast.

Which rules apply depends on your scheduler. Confirm the rules for your scheduler with Cleo during setup. The technician estimate is public and is not a Cleo figure.

At El Cerrito Honda, Cleo books service appointments directly into Xtime. Cleo dashboard, rolling 30 day view captured September 26, 2026. A booked appointment is not a completed visit or revenue. These are one dealership’s results, not a promise of yours.

If a call is not answered within three rings in any department, Cleo steps in. This ensures no customer is left waiting or forced to hang up.

Keep it with your advisors

Some calls should go to a person. You choose which.

01 · Recall requests

Cleo does not book recall appointments. It sends recall requests to your service team: a transfer when service is open, otherwise a callback request. Cleo does not look up open recalls by VIN.

02 · Price questions

With Cleo’s service-quote workflow, Cleo never quotes a price, an estimate or a range. It transfers the caller to service, or takes a callback when service cannot take the call.

03 · Anything else

When a caller needs a person, Cleo transfers to the person or department you set if they are open. Otherwise it takes a message and saves a task for your team.

Workflows are set per dealership. Decide which calls Cleo books and which go to your team before go-live.
