Recall and campaign call surge

Recall phone calls swamping your service department? Answer every one.

When a manufacturer recall or campaign notice reaches owners, some of them call your service department. Lines can fill, hold times can rise, and a caller who reaches no one has little reason to keep trying. Cleo answers your service calls, books appointments into your scheduler, takes a message and transfers to a person when one is needed. See what the public record says, real results from two dealerships, and what to confirm before the next notice goes out.

The notice reaches ownersNHTSA says a manufacturer must notify owners and dealers of a safety defect and must fix it at no charge to the owner. NHTSA counted 997 recalls in 2025 across vehicles and equipment, with more than 29 million vehicles recalled. At Stevens Creek Subaru, Cleo answered 1,678 calls from Sept 21 to Oct 20, 2026.
Lines fill upWhen every advisor is on a call, where does the next caller go: hold, voicemail or a ring nobody picks up? Who covers the desk at lunch and between shifts? At El Cerrito Honda, “If a call is not answered within three rings in any department, Cleo steps in.” Employees still receive the call first. Cleo answered 633 calls there in 30 days (captured Sept 26, 2026). Across Cleo dealerships, 36,070 calls reached Cleo from Sept 22 to Oct 21, 2026.Cleo for BDC overflow →Call statistics: when calls arrive →
The caller wants to bookDoes your scheduler show the open times a service visit needs, and does someone check them while the caller is still on the line? Which days and times may be offered?Reads the open times your scheduler returns, creates the appointment when the caller picks one, and confirms it only after the booking succeeds. Books into Xtime at El Cerrito Honda and through CDK and Tekion online scheduling, not a DMS integration. Dealer-FX lists Cleo in its integrations directory, and a Dealer-FX dealership can limit the days and times Cleo offers for diagnostic, recall or repair requests. After hours, or no time openWhat does a caller hear after closing, or when the scheduler has no suitable time or a booking fails?Answers day or night: at Stevens Creek Subaru, 30 appointments were booked while the service department was closed (Sept 21 to Oct 20, 2026). Cleo never says an appointment is confirmed when it is not. When no time is open or a booking fails, it takes a message as a callback request with the details it collected, or transfers to a person you configure. A transfer still depends on a person being available.Stevens Creek Subaru case study →After-hours service scheduling →

The middle column lists questions to check in your own phone setup, plus the public sources named in its first row. They are not statements about any company. Cleo figures come from Cleo’s case studies, scheduler pages and call statistics page on callcleo.ai, read October 22, 2026. Xtime, CDK, Tekion and Dealer-FX are trademarks of their owners. Cleo is an independent vendor, and this page does not describe a partnership with, or endorsement by, any of them or any vehicle manufacturer. It does not describe recall look-up, VIN checks or manufacturer connections. Booked appointments are not completed visits or revenue, and results are one dealership’s, not a promise of yours.

Of those appointments were booked while the service department was closed

A booking-outcome call is a call that ended as a scheduled appointment in Cleo’s call log. It is not a completed appointment and it is not revenue: Cleo does not report whether customers arrived or what work was paid for. Booked appointments and transfers are separate outcomes, not a breakdown of the answered calls. These are one dealership’s results, not a promise of yours.

El Cerrito Honda, in a separate 30 days: 633 calls answered and 112 appointments booked, 34 of them while the dealership was closed. Appointments and calls are separate reported figures, not parts of each other. These are that dealership’s results, not a promise of yours.

What to check

Three checks before the next recall notice goes out.

01 · Count the calls you cannot answer

Pull a week of call logs from your last busy campaign and count the calls nobody answered. Then ask what each one could have become. Cleo’s figures are one dealership’s, not a forecast for yours.

02 · A message or a booking

A voicemail is not an appointment. Check that whatever answers books into your scheduler, checks open times before offering one, and says so when none is open. Cleo books into Xtime, and through CDK and Tekion online scheduling.

03 · Know who gets the handoff

Decide who takes a transferred call or a callback request during a busy week, and when each one is returned. A transfer still depends on a person being available, and a callback needs someone to act on it.

Count outcomes the same way for every option. An answered call is not a booking, and a booked appointment is not a completed visit.

Before you start

What to confirm before Cleo answers your service calls.

Your scheduler and service rules

Confirm which scheduler Cleo books into, which services and times can be booked, and your opening hours. Cleo books only the times your scheduler shows as open.

Who gets the follow-up

Decide who receives a callback request or a transferred call, and what your team does with it. Cleo can be live in under 7 days, so setup does not have to wait for the next notice.

FAQ

Still have questions?

Why do recall notices overload service department phones?

A manufacturer must notify owners and dealers of a safety defect and fix it at no charge to the owner. NHTSA counted 997 recalls in 2025 across vehicles and equipment, and more than 29 million vehicles recalled. No public source we found measures how many extra calls a recall adds to a service department, so this page makes no claim about call volume. Your own call log from your last campaign is the number that matters.
