Warranty and service contract calls
Warranty and service contract calls: what Cleo does before your advisor picks up
Callers ask about warranty work: is it covered, will you take it, and where does my claim stand. Cleo cannot answer the first or the last, because it does not check warranty or service contract coverage. It can answer from what your dealership has written down, book the visit, and hand the call to your service team or take a callback request. This page draws the line.

The short answer
Can an AI phone agent tell a caller if a repair is covered?
No. Nothing in Cleo's workflows, tools or prompts checks warranty or service contract coverage, and Cleo has no warranty workflow. The one place the word appears is an instruction that gives a warranty issue as an example of an urgent task.
What Cleo can do is the work around that question: answer what your dealership has written down, book the visit, route the call to a person, and create a task when nobody can help right then.
What Cleo does with each kind of warranty call
Six calls your service desk gets, and what happens to each.
Caller asks whether a repair is covered.
Cleo cannot say. It transfers the caller to the service team, or to a warranty desk if you list one, when that desk is open at that moment in your time zone. On a warm transfer, Cleo holds the caller and briefs the person who answers before connecting the caller.
Caller asks whether your store takes a kind of warranty work.
Cleo answers from the entries your dealership wrote in its knowledge base. It must look them up before it answers, prefers your entry to your website, and says it is not sure when nothing answers, then offers a follow-up or a transfer.
Caller wants the problem seen.
Cleo books the visit like any other. At stores whose scheduler workflow supports it, Cleo classifies the request as maintenance, diagnostic, recall or repair and reads the open times the scheduler returns. Booking the visit is not a coverage decision.
Caller asks where the repair stands.
Cleo does not read repair orders or guess a ready time. Its vehicle status workflow transfers the caller to the service department and takes a callback if service is unavailable.
Caller asks what it will cost or what the deductible is.
Cleo does not give a price, an estimate or a range on its quote workflow. In its knowledge base answers, Cleo never states a price or fee that appears only on your website, so a figure reaches a caller only if your dealership wrote it down.
Caller is upset about a repeat visit.
Cleo takes a callback request and can mark the task urgent when the caller says it is urgent or time-sensitive, or is frustrated.

Proof · Real dealership
Let a person confirm what only a person can confirm.
Cleo’s own service call scripts page tells dealers not to promise parts, repair time or a loaner until someone has confirmed it.
At El Cerrito Honda, Cleo answered questions, booked service appointments and sent detailed follow-up requests to the correct department. The store uses Cleo across sales, service and parts, and in the measured 30 day period Cleo completed 143 transfers. This is not a warranty result.
Cleo is an independent vendor. This page does not describe a manufacturer, warranty or service contract company connection.
After the call
What your team gets, and what to decide first.
01 · Nobody is lost between the ring and the follow-up.
If the service department is closed, Cleo offers to book the appointment, or takes the caller’s name for a callback.
If a warm transfer does not connect, Cleo returns to the caller and typically starts collecting details for a callback instead of dropping the call. A transfer still depends on a person answering.
A callback request takes the caller’s name, a callback number and a note, then creates a task for your staff. Task types are set up by your dealership, each task keeps its type, and you choose who is notified, who takes tasks in turn and when a task escalates.
02 · Three entries that save your advisors a call.
Which warranty and service contract work your store handles, and which it sends elsewhere.
Who a caller should speak to about coverage, and when that desk is open.
What a caller should have ready, such as the vehicle and the contract information.
Cleo looks entries like these up before it answers a question about your dealership. If you do not write it down, Cleo says it is not sure and offers a follow-up or a transfer.
03 · Five questions for your service manager.
1. Who talks to a caller about coverage, the advisor or a warranty administrator?
2. What can a caller be told without a person checking the vehicle’s record?
3. Who calls back, and by when, when the desk is closed?
4. Which warranty visits should be booked on set days or times?
5. Who follows up when a caller is upset about a repeat visit?
