Answering service vs AI

Dealership answering service vs AI phone agent: what to compare.

Choosing between a live answering service, an outsourced call center, BDC staffing and an AI phone agent? Start with what happens on the call: after-hours coverage, booking into your scheduler, handoff to your team and how you measure it. Here is a fair side-by-side by category, then a real Cleo call.

The first three columns describe each category in general terms, as questions to ask. They are not statements about any company, and this page names no answering service or call center. Cleo figures come from Cleo’s case studies on callcleo.ai, read October 22, 2026. Xtime, CDK, Tekion and Dealer-FX are trademarks of their owners. Cleo is an independent vendor, and this page does not describe a partnership with, or endorsement by, any of them. Booked appointments are not completed visits or revenue, and results are one dealership’s, not a promise of yours.

A booking-outcome call is a call that ended as a scheduled appointment in Cleo’s call log. It is not a completed appointment and it is not revenue: Cleo does not report whether customers arrived or what work was paid for. Booked appointments and transfers are separate outcomes, not a breakdown of the answered calls. These are one dealership’s results, not a promise of yours.

El Cerrito Honda, in a separate 30 days: 633 calls answered and 112 appointments booked, 34 of them while the dealership was closed.

What to compare

Three checks before you pick.

01 · After hours and busy times

Check which hours and days are covered and what happens at your busiest times. Of the 36,070 calls that reached Cleo from Sept 22 to Oct 21, 2026, 92.7% arrived Monday to Saturday, 7 am to 6 pm (a fixed clock window, not each dealership’s own hours), so overflow matters as much as nights.

02 · A message or a booking

A message taken is not an appointment. Ask whether the agent books into your scheduler, checks open times before offering one, and what it says when no time is available or a booking fails. Cleo books into Xtime, and through CDK and Tekion online scheduling.

03 · Handoff, setup and the exit

Ask where calls go when a person is needed, how long until it answers real calls, what the contract term is and what you can export if you leave. Get the answers in writing.

Count outcomes the same way for every option. An answered call is not a booking, and a booked appointment is not a completed visit.

Questions to ask every provider, Cleo included.

Ask for the same numbers

Ask each provider for calls answered, appointments booked and after-hours bookings from one real dealership over the same 30 days, and for how it counts a booked appointment. Compare like with like.

Decide who owns the caller

Whatever you choose, decide who owns a caller after the handoff: your BDC, your service advisors or the provider. Ask to see what your team receives after each call, such as a message, a task or a booked appointment.

FAQ

Still have questions?

What is the difference between a dealership answering service and an AI phone agent?

A live answering service uses people at a remote call center who answer for you and follow instructions you provide. An AI phone agent is software that answers and holds the conversation itself. For a dealership, what matters is what the call ends in: a booking in your scheduler, a message, or a transfer to your team. Cleo is an AI phone agent that books service appointments into your scheduler and hands the call to your team when a person is needed.
